How to Design a Practical Access Database
Step 1. DATA STRUCTURE
Main Entities describe the physical items being tracked. Ie People, Products, Purchasers Fields are what this entity has one of only. Ie CompanyName, ContactName etc Related Entities describe the items being tracked that are related to your entities. Ie. Each Person may have multiple children – Children would be the sub entity of People. Each related entity’s fields are what each sub entity has one of, ie Age, Childname etc
Step 2. ON SCREEN LAYOUTS
Often a pictorial view is best here (Use Alt+PrtScn, then paste into a word document) Or design by hand and scan. Layout Types are either:- a. Listing: where there are multiple entries down the screen, 1 per line – useful for searching purposes. b. Details: where one entry is displayed, showing all its data – useful for data entry.
Step 3. PRINTED REPORT LAYOUTS
Often a pictorial view is best here (Use Alt+PrtScn, then paste into a word document) Or design by hand and scan. Similar to screens, either a listing (ie Alpha list) or a detailed view (ie Letter layout).
Step 4. AUTOMATION
This is where you can state where you want your database to do something for you. Ie. At 9am every day, send the emails I have flagged in the system, or after I enter a date into the DateofBirth field, I want to see the persons Age etc.

How to Use Access Database as an Invoicing System
Unlimited, automated Invoices, Quotes and Purchase Orders. A very regular business need. It can be automated, organised and streamlined very easily. One recent client, asked for complete automation, so thats what they got. Whether they are in their office or sitting on the Beach or in the highlands of the Swiss Alps, their purchase orders are delivered on time. They just have to leave on their PC. the EBS Business Automation Software design comes to the rescue. A windows based scheduled task triggers the system, it opens and collates all stock items that have fallen below their minimum level, collates the Purchase Orders for each Supplier, Emails it to them and sends an sms to the boss as confirmation (thats right, he stills wants some control). Using SMSing from Within Your Database
Whether you are using a PC based MS Access database or a web based system designed by us, either way, automation is king. If you can define it - we can build it. More recently, notifying people automatically has moved to sms via mobile phone networks. As both PC and Web based EBS systems can auto send emails, sms services are available also. You do not need a connection to the mobile network, you simple subscribe to a Email-to-SMS third party service. In OZ, they usually cost between 15-22c per sms depending on your volume. Designing Your Database for Automation
When you leave the design of something to someone else you risk your ideas or dreams not being realised. Same with software systems and database/ system automation. You need to be very clear when you are describing what you want. I recommend you describe the processes in reverse. ie Client pays my Invoice, System sends client invoice, Invoice Items added to Invoice, Job Recorded, Enquiry made etc. Sounds silly, but I assure you after over 30 years of dealing with business system design, all problems can be attributed back to mis-interpretation because someone guesses what comes next based upon their understanding of the end result.
